Central Meeting Room Procedures

At any DPL facility, a Reservation and Commitment Form must be signed at least 14 days prior to the requested event date. Due to the high volume of meeting room requests, the Library recommends submitting your requests 30 days prior to your planned event date. Please note, however, that if you're planning an event that will require liability insurance and/or a license to serve alcohol, the reservation process should be initiated at least 60 days prior to the event. A Reservation and Commitment Form cannot be signed until you have applied for the insurance policy and/or liquor license, it has been approved and issued by the responsible agency, and copies have been submitted to the Library's Event Coordinator.

Once you have decided on the date and time of your event, immediately contact the Library and request a Meeting Room Reservation Packet. Applications for meeting room space are handled on a first-come, first-served basis.

It is strongly recommended that you tour the meeting room space well in advance of your event.

To reserve a room at the Central Library, the Central Library Event Coordinator must receive the following at least 14 days prior to the event:

  1. Your completed Meeting Room Reservation Request and Commitment Form
  2. A check for the total rental fee (if applicable), including fees for security and custodial costs
  3. The required food fee, if food will be served at your meeting
  4. Copies of applicable insurance policies, catering and alcohol licenses

No space will be guaranteed without a completed signed contract, applicable supporting documents, and all fees paid in full. Large or complicated meetings or events require that you tour the Central Library with the Event Coordinator prior to signing a contract.

Study rooms (for 2-3 people) are available on levels two, three and four. These rooms are free of charge and available on a first-come basis. No reservations are accepted for study rooms.
