Meeting Room & Event Space Procedures at Central
Due to the high volume of meeting room requests, the Library recommends submitting your requests to the Event Coordinator 30 days prior to the date of your meeting.
To reserve a meeting room at the Central Library, please email or call the event coordinator (see address and phone below) with the following information:
- Date and time of meeting
- Number of attendees
- Special requests such as AV equipment, catering, setup needs
Please note that the Library schedules meetings during Library hours only, Monday through Saturday. The only exception is for events in the Vida Ellison Gallery (see information and rates below).
If you are planning an event that will require liquor liability insurance, the reservation process should be initiated at least 60 days prior to the event.
Requests for meeting room space are handled on a first-come, first-served basis. The Central Library Event Coordinator must receive the following at least 14 days prior to your meeting:
- Completed Reservation and Commitment Form (signed after availability has been confirmed)
- A check for the total rental fee, including fees for security and custodial costs
- The required food fee, if food will be served at your meeting
- Copies of applicable insurance policies
Large or complicated meetings or events require that you tour the Central Library with the Event Coordinator.

Qualifications for Reduced Rental Fee
In general, reduced fees are available for meeting rooms under the following circumstances:
- Nonprofit meetings that are free and open to the public where all can participate fully
- State and Federal government meetings and forums which are open to the public
Meetings and events which are sponsored by the Library in support of its mission and goals, or are sponsored by agencies of the City and County of Denver are exempt from rental fees.
